Optionally, you can add extra actions to the rule to mark the incoming message as read, archive it, or delete it. The rule in the screenshot is configured to grab emails sent to but you could use other criteria if your email provider doesn’t support plus addressing. If MailAction.applescript is in the correct folder, it will automatically be available from the pop-up. Open Mail’s Rules Preferences pane and click “Add Rule”. ~/Library/Application Scripts/Ī window will open showing Mail’s scripts folder copy your downloaded MailAction.applescript file into the folder and close the window. Paste in the following line (including the ~) and press return. In order for Mail to use it in a rule, it needs to be in a specific folder, so open the Finder and choose Go to Folder from the Go menu. Right-click and download this linked AppleScript file. For most customers, using Mail Drop with Omni Sync Server will be a better experience. We provide these instructions as a convenience for customers who prefer to use the Mail Rule, we but are no longer able to provide technical support for problems involving Mail Rules in Apple’s Mail.app. Having looked into problems with Mail Rules extensively in the past, we’ve found that Mail.app simply fails to apply rules sometimes.

These instructions assume that you’re using OS X Mavericks or later (required by OmniFocus 2), and are using the OmniFocus 2 Pro feature set (since AppleScript support is a Pro-only feature).

It also took care of the major headache I was dealing with by not being able to directly add emails to OmniFocus tasks when I was away from my Mac.OmniFocus 2 for Mac no longer includes preferences for configuring a mail rule, but this document can help you replicate the functionality of the rule that was included in OmniFocus 1. The feature is in beta, but it's been working great for me. I added my Sync Server address to Contacts so all I need to do is type "MailDrop" in Mail's TO field instead of remembering the special address The Omni Group assigned to me. It'll show up as a task in your In Box where you can add deadlines, categories, and other notes. When you get an email you want to add as a task to OmniFocus, just forward the message to your personal Omni Sync Server email address.

That adds you to the request list, which should get you an email within a few days that includes your own personal Sync Server email address you'll use to add messages to your task list.
The Mac and iOS versions of OmniFocus include Sync Server settings From there, you can enter your Sync Server account information. On your Mac, launch OmniFocus, then go to OmniFocus > Preferences, and click the Sync tab. To enable syncing in OmniFocus on the iPhone and iPad, go to settings in the app (look for the little gear icon), tap Sync Method, then choose Omni Sync Server. You'll need to enable the Omni Sync Server feature in OmniFocus, too, even if you use the app on only one device. To turn email messages into tasks in iOS, you first need OmniFocus for your Mac, iPhone, or iPad, and a free Omni Sync Server account.

On the iPhone, iPad, and iPod touch, however, there hasn't been an easy way to do that - until the clever team at The Omni Group figured out how to use their own Omni Sync Server to make that happen. OmniFocus is a great tool for keeping track of your tasks, and on the Mac it's easy to take an email and turn it into a to-do.
